The Department of Science & Technology (DST) has achieved a significant milestone by successfully transitioning to the NIC e-Office digital file management system, marking the dawn of a new era of efficiency and sustainability. This transformation replaces traditional paper-based workflows with a streamlined, cloud-enabled platform hosted by the IT Department at the state data center.

The e-Office system, launched in late 2024, facilitates digital diarization, file creation, electronic signatures, and secure archival, redefining how DST conducts its operations. The transition was bolstered by a comprehensive training program led by the IT Department, which empowered staff with the skills needed to navigate the digital shift. Over two months, Master Trainers were prepared to guide their divisions, while a dedicated scanning team digitized existing records to enable a hybrid operational phase in December 2024.

On January 1, 2025, DST fully adopted the paperless workflow, retiring physical files. The transition was not without challenges, including technical hurdles such as limited scanners, internet connectivity issues, and initial system glitches. To address these, an advanced training session was held from January 15 to 17, equipping staff with practical skills for digital operations, such as referencing, drafting approvals, and efficient file processing.

The benefits of this shift are already evident. File processing times have decreased, communication flows seamlessly, and staff can access and process files remotely, even while on official tours. The department has also realized significant cost savings by reducing the use of stationery and physical file management resources.

DST extended its gratitude to the IT Department for their support and innovation, which played a crucial role in the successful implementation of this initiative.
